Document Shuttle Pro

Document Shuttle Pro Version 6.4 is now available with many added features.  Document Shuttle Pro enables you to populate a Laserfiche database from external sources such as MS Access, MS Excel or any other program that can produce compatible source files.  We have gone to great lengths to ensure enough flexibility to accommodate a vast array of external sources.     Document Shuttle Pro can create folders, place documents within the folders and populate the templates - all in one pass with virtually no effort on the part of the end user.

For Laserfiche VARs and end users alike, you can use the power of Document Shuttle to instantly populate a database with thousands of records and complete folder structure with just a few clicks instead of weeks of data entry.

Document Shuttle Pro Uses:

  • Populate Laserfiche database with existing data with or without images.

  • Eliminate data entry by importing data from existing system and creating empty documents for scanning. 

  • Automate process of moving data from one system to another.

Document Shuttle Pro Features:

  • Create folder structure based on fields.

  • Create documents named by fields or custom name.

  • Create a predefined folder or document structure.

  • Automate importing process.

  • Poll for work and automatically insert records into Laserfiche.

  • Map fields.

In addition to field and image data, there are also several internal controls available.

Document Shuttle can be used in two ways.  By default Document Shuttle Pro will prompt for all needed information.  Document Shuttle Pro settings can also be saved to perform repetitive importing automatically.  Document Shuttle also has a polling feature which once setup can poll a directory for data and import without user intervention.

In addition to other new features in version 6.4, the most significant is the ability to create predefined folder or document structures. Document Shuttle Pro can create a predefined set of folders or documents for each record in a database or both.  As an example, when using employee records to populate a repository, Document Shuttle can turn one employee record into several documents in Laserfiche - one for Hiring Docs, one for Evaluations, Medical records, etc etc.

Features in Development:

  • Record tracking.  The ability to only import new/unique records to a Laserfiche Repository
     
  • Better logging.  Any records that are rejected by Laserfiche will be written in their entirety to the log file.
     
  • Electronic Document support.  Currently only .TIF files can be imported, in a future release any type of file will be able to be processed

What’s new in Document Shuttle Pro 6.5(Build date:  05/03/2006)
 

New Features:

  • The ability to assign a default value for a field has been added to the field mapping section.
     
  • Added the ability to name and save an unlimited number of configurations.  In prior versions only three configurations could be saved
     
  • Program registration is now tied to both the client name and workstation where Document Shuttle is installed.  To register the program you must contact R&S via email (automatic at the time of installation) or telephone to obtain a registration code. 

 Fixes / Changes:

  • Changed the way folder creation and document placement is handled when a field is blank.  In previous versions if the value were blank, documents would not be placed in the proper location and folder creation for subsequent records would be incorrect.  This has been changed in the current version.

Example:  If you set Document Shuttle to create folders based on fields 1 and 3 in the source file and field three had no value, the document would be placed in the parent folder and subsequent folders would be nested in the wrong location.

In the current version, the document will be placed in the last folder created, field 1 in this example, and future folders will be created with the correct parent.

You also have the ability to preset a value for any empty fields.

  • Removed support for “Column” source files.  This was a proprietary file type that is no longer supported.
     

  • Fixed support for quotes in comma delimited files, including double quotes around the tiff address.  Records with commas between quotes will now be imported correctly.

  • Fixed a conflict with the Laserfiche API whereby folder names longer than 31 characters were skipped.  In some version of the API, the folder name would be automatically be truncated when imported.  In the latest version of the API that record is skipped.  Document Shuttle will now truncate any folder names to 31 characters prior to passing the name to the API.
     
  • When checking the Save Configuration box on prior versions, the Field Naming value was not correctly saved.  This has been fixed.

 Current Support and a password is required for download.  You will also have to obtain a new registration number from R&S after installing.
